PRIVACY POLICY

This privacy policy is for the purpose of transparency about the information Zoë Cooper Photography collects on you, and how it is used.

It comes as a result of new legislation that came into effect in 2018 known as the GDPR (General Data Protection Regulation) making companies more responsible and transparent about how they manage your personal data.

WHAT INFORMATION DO I HOLD?

When you get in touch with me via my website, email, telephone, or as a face to face meeting I will collect some personal information from you.

The information collected really is dependent on what enquiry or booking you have made. For example, wedding clients will provide me with more detailed personal information relating to their wedding day and their family members.

ARE PHOTOGRAPHS CONSIDERED DATA?

As a photographer, this one is really important, because taking pictures (mainly of faces) is my job. In terms of whether a photograph is considered data is yet to be determined, we need to demonstrate that the use of images is both legitimate and reasonable.

In order for any photographer to operate their business they need to show off their work. It is through being able to show past images of real weddings, and real people that I attract potential future clients.

I display images on my website, and social media platforms such as Facebook and Instagram. You have the option to ‘opt in’ to allow me to use your images for my business marketing in our contractual agreement, and if you chose to keep your wedding private then that’s ok, and you can change your mind at any time either way.

Being able to market my business through showing wedding and other photography work is incredibly important to the success of my business. It is essentially how I am able to sell my service. I am incredibly grateful to all of the couples who understand this and allow me to show off their wedding pictures.

My relationships with my couples is of the upmost importance to me, so when it comes to this matter lets discuss your preferences openly and honestly.

If a third party approaches me wanting to use one of your images, I will contact you about it. This may happen where a venue has asked to use a wedding image for their own business marketing, in which case you will be contacted and asked for your consent.

PERSONAL INFORMATION HELD RELATING TO WEDDINGS

You may have contacted me through my website enquiry form, from this I will have been provided with your contact details so that I can contact you back.
We may have had an initial telephone conversation where I would have made some hand-written notes about your wedding day, such as venue details. (In all seriousness, even if someone did get hold of these notes my hand writing is mostly illegible to anyone other than myself.)
If you booked with me, you would have been sent an information form to complete relating to your wedding day. This only goes as far as my computer.
Information stored on my computer is password protected. My scribbly hand-written notes are stored in a locked cupboard.
If you do not book with me your information is deleted.

PERSONAL INFORMATION HELD RELATING TO PORTRAIT PHOTOGRAPHY CLIENTS

You may have contacted me through my website enquiry form, from this I will have been provided with your contact details so that I can contact you back.
We may have had an initial telephone conversation where I would have made some hand-written notes about the portrait session such as names of other individuals (adults and children) who will be present at the portrait session, times and location. This information only goes as far as my computer.
Information stored on my computer is password protected. My scribbly hand-written notes are stored in a locked cupboard.
If you do not book with me your information is deleted.

PERSONAL INFORMATION HELD ON COMMERCIAL, CORPORATE & EVENT PHOTOGRAPHY CLIENTS

You may have contacted me through my website enquiry form, from this I will have been provided with your contact details so that I can contact you back.
We may have had an initial telephone conversation where I would have made some hand-written notes about the booking, your business and your requirements. This information only goes as far as my computer.
Information stored on my computer is password protected. My scribbly hand-written notes are stored in a locked cupboard.
If you do not book with me your information is deleted.

WHAT IS YOUR PERSONAL DATA USED FOR

Your personal information is only used for the purpose for which it was intended – to know the things I need to know in order to do a great job for you.

I do not sell personal data to third party companies. I do not send marketing emails to customers past or present.

Any marketing campaigns or special offers will be advertised through social media posts, and not direct marketing emails.

If you have any questions about how I handle your personal data then do not hesitate to contact me. I can show you the information I have on you (you’ll already know it as you provided it to me). And I absolutely can delete any information you don’t want me to have.

I have legal obligations with regards to my tax records, as all businesses do. These are again held on a password protected database and paper copies as legally required stored in a locked cupboard.

HOW LONG IS YOUR PERSONAL DATA KEPT FOR?

Database information is kept for a period of 12 months following the date of assignment.
Invoicing and tax records are required to be kept for a period of 4 years plus the current year.
Data is deleted electronically and all paper copies are shredded.

CLIENT GALLERIES

Images are uploaded to a secure password protected online gallery. Wedding galleries can be shared by the couple with their guests. Commercial and portrait clients can also use the gallery to select their images.
The galleries do not hold any identifying data and are not accessible to the public.
If a customer creates a favourites folder they will be required to set up a client account.

YOUR RIGHTS

  • You have the right to be informed about how I use your personal data.
  • You have the right to request access your personal data, and a copy of the information I hold about you.
  • You have the right to rectification and/or erasure of use of images and/or personal data known as the ‘right to be forgotten’. You may exercise this right at any time by contacting me.
  • You have the right to object to me processing your personal data.
  • You have the right to opt out at any time of being contacted by me.

CHANGES TO THE PRIVACY POLICY

The GDPR legislation is still new, and as such updates are expected, so there are likely to be changes to this policy to reflect the changing guidance to businesses.
